Customer Registration
Agreement 2006

   

Please read carefully, complete the registration form sign and submit. If you have any questions, contact your ICCP Program Director for clarification. This is a legal and binding agreement.

Terms and Conditions
These terms and conditions are designed to be fair to the international participant, the camp and to clarify the responsibilities of the camp, the participant and ICCP. Acceptance (verbal or written) of a staff person under the ICCP program shall constitute de facto agreement to these terms and conditions by the camp.


Regular Program


ARRIVAL & ORIENTATION INFORMATION:
International participants will arrive to one of three (3) orientation sites (New York, Chicago, Los Angeles) prior to arrival to camp. ICCP will meet participants at the arrival airport and transport them to the orientation site. Participants will travel to camp immediately following the end of orientation. Camp Directors are responsible for one-way domestic travel to camp. ICCP will relay travel instructions and transportation tickets provided by camp director to participants. Those who wish to delay a participant’s departure from orientation or arrival at camp must assume full financial responsibility for the participant’s room and board during the interim. ICCP staff must be informed of such arrangements at the time of placement.

ICCP (Program Sponsor) will:

 

Provide promotional materials to recruiters and applicants
 

Initiate and monitor the placement process of applicants
 

Determine final selection of applicants
 

Process visa application forms for participants and forward them to recruiters
 

Provide up to 4 months of accident/illness insurance for participants which meets U.S. government mandated standard
 

Provide an orientation for participants in the U.S. or in the home country
 

Greet participants upon arrival at designated airport if travel information is provided in advance
 

Provide assistance with domestic travel arrangements for those attending orientation in the U.S.
 

Provide 24 hour assistance and support services to recruiters, camps and participants, as needed
 

Maintain compliance with U.S. government J-1 visa regulations
 

Conduct evaluations and share results with recruiters
 

Maintain a problem case file and forward to recruiter

The U.S. Camp (Employer) will:

 

Provide the participant with an employment contract prior to arrival to camp outlining rules, regulations, and the participant’s job responsibilities
 

Provide participant with a position that matches the position arranged with ICCP
 

Pay ICCP a program fee for each international participant
 

Assume financial responsibility if a participant (due to travel or other circumstances) is required to stay longer at the ICCP orientation site
 

Pay cost of one-way domestic transportation to camp from selected Orientation site /airport or city
 

Notify ICCP of participant arrival to camp within 5 days of arrival
 

Provide staff training covering camp rules, policies and on-going supervision
 

Notify ICCP immediately if a problem arises with a participant, providing written documentation of incidents or warnings given to participant prior to termination
 

Provide a participant with a minimum of 24 hours off each week (of which at least 12 hours must be continuous) and with assistance with transportation off campsite on days and evenings off. Support staff may not work more than 10 consecutive hours per day
 

Pay stipend, as determined by ICCP, to the participant for ten weeks of work (including staff training) or to the end of camp which ever comes first.
NOTES: (No FICA or FUTA can be deducted from this amount as J-1 participants are exempt).

-The Stipend is the minimum net amount to be given to participants. Check with your State Labor Board to be sure that these amounts comply with the state minimum wage laws.

-The standard resident camp season is ten weeks (70 days) and the standard day camp season is eleven 5-day weeks (77 days), plus one week of staff training. The Stipend amount is based on these standard seasons (no pro-ration of the ICCP fee or stipend will be given if camp contracts a participant for less than the standard ten weeks).

-For work beyond the ten weeks camps must pay ICCP participant the same wage that an American counselor would earn (some camps may have a longer summer season)

-The fee to ICCP and the Stipend to staff are calculated from the day after the staff member arrives at camp, including the staff training; however, if a participant arrives earlier than the staff orientation for a certification-training course sponsored by the camp, their ten week contract will be effective on the first day of the camp’s general staff orientation

-Full payment of stipend MUST be made to participant before participant leaves camp.
 

Provide general liability insurance
 

Provide room & board or arrange home stay/host family (if a day camp) for duration of program
 

Conduct evaluations and submit to ICCP

The Applicant (Participant) will:

 

Provide accurate and complete application information
 

Accept the placement arrangements made by ICCP
 

Promptly inform ICCP recruiters of cancellations, changes in application information or participant plans
 

Accept and abide by all the regulations of the Exchange Visitor Visa (as explained in participant handbook) and return home prior to the expiration date on the visa
 

Comply with all camp rules, policies, regulations and performance standards
 

Be responsible for own expenses related to food and lodging if arriving to U.S. prior to the arrival date assigned by ICCP
 

Notify ICCP of arrival to camp within 5 days and of whereabouts when not on camp premises
 

ICCP participant commits to a minimum of 10 weeks work (including camp training) or to the end of camp which ever comes first to be eligible for stipend (determined by ICCP) which is paid directly to participant by the camp (NOTE: some camps may have a longer summer season)
 

Contact ICCP immediately concerning a serious camp problem, after first consulting with the camp director
 

Be responsible for own expenses related to all travel from camp at the end of the camp work assignment, and for all other personal expenses incurred from end of camp until return home
 

In the event of early departure from the camp by an International staff person without proper notification, consultation and approval by ICCP, that person will reimburse ICCP for a pro rate amount of the ICCP service fee to be refunded to the camp
 

Be responsible for all expenses (food, lodging, travel) if employment is terminated by camp or if participant leaves camp before the end of the season until placed at another camp if it is so determined by ICCP staff
ICCP may terminate this contract and send a participant home at the participant’s expense in the event participant does not comply with the above terms

 


Direct Placement / Returning Staff Program


ICCP (Program Sponsor) will:

 

Send a DS-2019 visa sponsorship form, SEVIS fee receipt and supporting documentation directly to the applicant via express mail.
 

Provide continued support throughout the program.
 

Provide 12 weeks of sickness and accident Insurance Extendable to 16 weeks upon request.

The U.S. Camp (Employer) will:

 

Arrange for a face to face interview with the participant.
  Provide the participant with a contract and information prior to arrival to the site, outlining rules, regulations and job responsibilities.
  Provide staff training covering site rules, policies and on-going supervision.
  Pay ICCP a program fee of $550 for each international participant.
  Negotiate salary directly with the participant. No FICAA or FUTA can be deducted from this amount, as J-1 participants are exempt.
  Make transportation arrangements directly with the participant.
  Notify ICCP of the participant’s arrival to camp within 10 days for visa validation.
  NOTE: There is a $75 fee to replace lost or stolen DS-2019 forms and SEVIS fee receipts.
  Provide general liability insurance.
  Provide room & board or arrange home stay/host family (if a day camp).
  Ensure that international staff have at least 24 hours off per week (of which at least 10 hours must be continuous).
  Assist international staff with transportation out of camp on days and evenings off.
  Comply with Federal, State and Local regulations regarding payroll, insurance and background checks.
  Notify ICCP in writing within 15 days of visa denial or cancellation to be eligible for a $200 refund.
  Consult with ICCP before early termination of an international staff.

Applicant will:

  Accept the placement arrangement made by the employer
  Carry out the responsibilities to his/her best ability
  Negotiate salary and transportation directly with the employer
  Be financially responsible for all personal or incidental expenses before, during and after commitment
  Accept the terms of the Exchange Visitor Visa: to work only at the designated site and return home before the expiration date of the visa
  Maintain sickness and accident insurance meeting U.S. government regulations for the entire stay in the U.S.
  Notify ICCP of arrival to camp within 10 days. Failure to do so will invalidate the J-1 visa
  Keep ICCP updated of whereabouts during travel time

 


Trainee Program


ICCP (Program Sponsor) will:

  Send a DS-2019 visa sponsorship form, SEVIS fee receipt and supporting documentation directly to the applicant via express mail.
  Provide continued support throughout the program.

The U.S. Host site will:

  Take full responsibility for the applicant’s placement and performance, and assure that the candidate meets all requirements for the applicant’s placement.
  Pay the International YMCA the full application fee, which covers: SEVIS fee, DS-2019 form and Express Mailing fee.
  Pay the International YMCA Branch for sickness and accident insurance coverage for the participant for the duration of the training program.
  Assure the package containing the DS-2019 form and other documents is deliverable to the address provided on the application. If the package containing the DS-2019 form and documents is undeliverable to the address provided on the application, the host site will have to pay another courier fee to resend the package.
  Supply the International YMCA with a copy of the training plan signed by the trainee and to consult with the International YMCA before any alterations are made to the approved training program.
  Ensure continuous supervision of the trainee and to complete with the trainee, all evaluation forms sent by International YMCA Branch.
  Guarantee sufficient equipment, facilities, and guidance of trained personnel to provide the specified training.
  Understand and accept that the trainee is here for training in the skills and knowledge needed to perform the particular task in the home country, not to be trained for employment in the United States.
  Notify ICCP of arrival to camp within 10 days. Failure to do so will invalidate the J-1 visa
Guarantee trainees will not be in positions that would otherwise be filled by U.S. residents as full or part-time employees.
  Accept the terms of the J-1 visa: representatives of the host site may not in any way assist the trainee to extend his/her stay or remain in the United States after the expiration date of the training visa.
  Understand that the sponsor of the training program is the International YMCA and any problems, changes and pertinent information must be reported directly to International YMCA including exact arrival, departure, and travel dates.
  Be responsible for arrival orientation.
  Notify the trainee of expenses covered by the host site.
  Clearly specify those expenses for which the trainee is personally responsible. The expenses for room, board, transportation and fees paid to International YMCA must be considered.
  Understand that the International YMCA is the sponsor of the training program and as such it is responsible for monitoring compliance with J-1 visa regulations, the training plan, and the YMCA policies. The training plan cannot be modified without the approval of the International YMCA. The International YMCA may require modification of the training plan or terminate visa sponsorship if Branch staff determines the J-1 visa regulations, the training plan, or the YMCA policies are not being followed.
  To adhere to all Federal, State, and Local regulations regarding payroll taxes, insurance, and background screening.


Applicant will:

 

Participate in all aspects of the training program, including orientation and evaluations.
  Accept placement arrangements made by the host site and to carry out responsibilities to the best of his/her ability.
  Follow all rules and regulations of the training facility and to report any problems to his/her immediate supervisor and to the International YMCA/ICCP.
  Read and agree to the Training Plan developed by the host site and approved by ICCP.
  Accept the terms of the Exchange Visitor Visa: to train only at the designated site, to leave the USA before the expiration date of the DS-2019 plus 30 days post program travel period (If program is successfully completed) and to not train outside of the activities specified in the training plan.
  Report your residential US address to the YMCA International Branch within 10 days of any move.
  Notify ICCP of arrival to camp within 10 days. Failure to do so will invalidate the J-1 visa
  Follow and obey all laws of the United States.
  Understand that the International YMCA Branch is the sponsor of the training program and the trainee is responsible for reporting to us any problems in a timely manner. Should the trainee leave the program early, the trainee must notify the International YMCA Branch.
  Understand that the International YMCA as the program sponsor is responsible for monitoring compliance with J-1 Visa regulations, the training plan and YMCA policies. The training plan cannot be modified without International YMCA / ICCP approval. The International YMCA may require modification of the training plan or terminate visa sponsorship if Branch staff determines the J-1 visa regulations, the training plan, or the YMCA policies are not being followed.
  Provide evidence of possession of round trip transportation to and from the United States, or sufficient funds to purchase return trip upon entry into the United States.
  Understand that the intent of the training program is to gain skills to be used in the home country. Any attempt to remain in the United States after the end dates of the training program may be viewed as misuse of the program, and visa sponsorship by the International YMCA Branch may be terminated.

Camps that terminate participants or if participants leave the program early should notify ICCP immediately in writing and should pay the participant a pro rated amount for salary.  ICCP will then consider a prorated insurance refund, calculated using the remaining number of weeks on the training plan.)
